Free live webinar on after-hours guest calls by HelloShift and Tokeet, Wed Oct 21, 1pm ET, with an AI-answered call card

After-hours guest calls are the ones most vacation rental teams can’t cover: a caller ready to book at 9 pm, a guest who can’t find the property, a leak at 10 pm. On Wednesday, October 21, Tokeet and HelloShift are hosting a live webinar, “AI Call Answering for Vacation Rental Operators,” that shows how HelloShift’s AI front desk answers those calls and where a person still needs to step in.

The session runs about 40 minutes, with a live demo on a vacation rental setup and open Q&A. If you can’t attend live, the recording will be posted on Tokeet’s YouTube channel afterward.

Tokeet and HelloShift’s webinar on after-hours guest calls is on Wednesday, October 21, 2026, at 1 pm Eastern / 10 am Pacific on Zoom. HelloShift’s team will call its AI live on a vacation rental setup, show how operators train it and route calls to staff first, explain what it won’t do, and answer questions.

Why After-Hours Guest Calls Matter

Most vacation rental teams can’t staff a phone around the clock. Calls that arrive outside working hours go to voicemail or to someone’s personal cell phone, and those are often the calls that count: a new booking, an arriving guest who can’t get in, or a maintenance problem that can’t wait until morning.

HelloShift’s own data shows how often this happens. In its report on 15 months of AI-answered guest calls, about 1 in 4 calls arrived outside 8 am to 6 pm front-desk hours. The report covers hotel calls rather than vacation rentals, but the pattern will sound familiar to anyone who handles after-hours guest calls from their own phone.

What the Webinar Covers

Each part of the session looks at a different side of after-hours guest calls, and each will become a chapter in the YouTube recording.

  1. The after-hours problem (5 minutes). Voicemail, personal cell phones, and booking calls that go unanswered.
  2. Live demo (15 minutes). The HelloShift team calls the AI live on a vacation rental setup. A new caller asks about availability and gets a booking link by text during the call. A current guest asks about parking and checkout time. Someone reports a broken hot tub, and it gets logged for the team. Then the caller switches languages mid-call.
  3. Making it sound like you (10 minutes). Training the AI on your website and FAQs, editing an instruction live and calling again so you can hear the change, and using DialFirst to ring your phone first so the AI picks up only if you don’t.
  4. What it won’t do (3 minutes). The limits operators should know before they rely on it.
  5. Q&A (10 minutes). Open questions from attendees.

The demo calls reflect the most common after-hours guest calls: booking questions, stay questions, maintenance reports, and guests who don’t speak English.

Where a Person Still Steps In

The webinar includes a segment on limits, because knowing where the AI stops matters as much as the demo. The HelloShift team plans to cover three:

  • It won’t make up answers. It responds from the information you give it.
  • It doesn’t complete bookings itself. It sends the caller a booking link instead.
  • It hands off to a person when it should. Calls that need judgment go to your team.

That means setup still matters. Access instructions, house rules, policies, and escalation steps need to be accurate before the AI takes after-hours guest calls on your behalf.

Our post on using AI across the vacation rental guest journey describes the same split: technology handles routine questions so the team can focus on the situations that need a person.

How HelloShift Connects to Tokeet and AdvanceCM

HelloShift connects to Tokeet and AdvanceCM through a certified integration. Confirmed bookings sync into HelloShift in real time, including guest names, contact details, stay dates, booking sources, confirmation numbers, reservation statuses, and the rental each booking belongs to.

When a caller matches an imported guest record, the AI can answer with that stay’s details instead of asking the guest to repeat their name, property, and dates. Our announcement of the HelloShift integration explains the full workflow, including DialFirst and how guest requests become tasks.

The booking data comes from AdvanceCM, Tokeet’s AI-powered property management platform, or from Tokeet, so the reservation context stays current as bookings change.

Calls are only one guest channel. If your team also handles messages across several booking sites, our Konnect Homes customer story shows how one property manager brought those conversations into one place.

Can’t Make It Live? Watch the Recording

Many operators prefer to watch on their own time, so the session on after-hours guest calls will be recorded. After October 21, the recording will be posted on Tokeet’s YouTube channel, and this page will be updated with the video.

Registering is still worthwhile if you want to put a question to the HelloShift team during the live Q&A.

Next Step

If your after-hours guest calls currently go to voicemail or your personal phone, bring one real example to the session and ask how the AI would handle it.
